Automate Accounting

The Layer on Top

Keep Your Accounting System. Add What It Can't Do.

Businesses do not change accounting systems lightly, and they should not have to. Automate Accounting sits on top of the one you already run and adds what it was never built for: the reporting, analysis and evidence your bank, your investors, a buyer and your auditor actually ask for, generated, sealed, delivered and tracked.

How It Sits on Top

  • You can keep your current accounting system as the system of record. Switch that on for a company and Automate Accounting imports, reports, closes and packages on top of it, and declines to move money in a book it does not own, so a bill is never paid twice.

  • From QuickBooks Online, the accounts, customers, vendors, invoices, bills, payments, deposits, purchases and the general ledger all come across, every hour, and a change made back in QuickBooks is picked up rather than missed.

  • Any accounting system that can export a trial balance, a ledger, or open invoices and bills can feed it. Imports are checked before anything is written, previewed as a difference, and can be rolled back.

QuickBooks Online connects directly and stays in step hour by hour. Any other system feeds it the way your accountant already works: export the trial balance, the ledger or the open items, import them, and go. Your system stays the place money moves from. This is where the numbers get explained, packaged and sent.

What It Adds

Reporting to the people who need your numbers

Monthly, quarterly and yearly packs for management, your bank and your investors, generated on a schedule, delivered as expiring links, and re-checked every night against the books they came from.

Stakeholder reporting

Being ready when someone wants to buy you

A due-diligence package that is already built, sealed at a point in time, filed into a data room, and verifiable byte for byte by the person you sent it to.

Selling your company

Preparing for an audit before anyone schedules one

A readiness score kept all year, the tests an auditor would run already run, controls with signed attestations, and an engagement the auditor works through one link.

Audit readiness

Analytics that reconcile

KPIs that say where they came from, forecasts frozen when a pack is issued, covenant headroom twelve months out, and a cash forecast built from what you are owed and what you owe.

Analytics

Most accounting systems stop at the trial balance. Everything a bank, an investor, a buyer or an auditor asks for after that point is assembled by hand, in a spreadsheet, from an export, by the person who least has time for it. That assembly is what this replaces.

It Says Where Every Number Came From

  • A package states which of its figures came from your other system and which were prepared here, so a reader never has to guess where a number was born.

  • Every statement states its own basis on its face: prepared from posted entries, in which currency, which fiscal year, which periods are closed, and that it is unaudited.

A layer on top of another system has one honesty problem to solve: which figures are yours, and which were prepared here. Every package answers that on its face, and every statement carries its own basis line. A recipient never has to ask which system a number came out of.

And When You Are Ready to Move

  • When you are ready to move, becoming the system of record is one approved, recorded decision by a named person, not a migration project.

  • QuickBooks Online comes across in stages: years of history brought in piece by piece, then kept in step so a change made back in QuickBooks is picked up rather than missed.

Nothing about the layer asks you to leave. But it is the whole system underneath: a ledger that refuses an unbalanced entry, a close that checks itself, consolidation, revenue recognition. When the books you have been reporting on here are the books you would rather keep here, the switch is one recorded decision, and a month run in parallel tells you before you take it.

Why a layer, and why we say so

We could ask you to switch accounting systems on the strength of a demo. We would rather earn that. Run your reporting here for a few months, send your bank a pack it can check, get through an audit with the score already green, and decide about the system of record when it is a small decision instead of a large one. Every capability on this site is in the subscription whichever way you use it.

The fastest way to see it is on top of your own books, with a month you already closed.
